Introduction
This Quick Start Guide is designed to help you build confidence with your Email Agent from the very beginning. You'll get familiar with key terminology, learn how to effectively communicate with your Agent via email, understand common use cases, and discover how to get the most out of our documentation.
Whether you're brand new to AI or just looking for a smarter way to handle your email marketing workflow, this is your foundation. Let’s get started!
What is an Email Agent?
An Email Agent is your AI-powered, business-savvy marketing assistant. It helps with recall, research, writing, analysis, and idea development — all through email. Think of it as a marketing consultant in your inbox — someone who not only handles the repetitive and time-consuming parts of your workflow, but also helps you level up your marketing strategy, execution, and creative thinking. Whether you're planning campaigns, analyzing data, or refining messaging, your Agent is there to boost your efforts with expert support and guidance.
How it Works:
You interact with your Agent by emailing it directly at its unique Email Adress address (for example, [email protected]
). Every Email Agent has its own unique email address, which is how you communicate with it. You don’t need any special tools or training — just talk to your Agent like you would any other helpful coworker.
You don’t need to be a prompt engineer or AI expert to use Email Agent either. Just send an email and ask — your Agent does the rest. Your inbox privacy is always respected; your Agent only sees what you directly send to it.
Getting Started:
Ready to see what your Agent can do? Let’s get started:
- Find your Agent's email — This will look something like
[email protected]
. If you don't remember your Agent’s address, just search your inbox for "emailagent.ai" and check the "From" field in any of those emails — that's your Agent! - Send your first message — Treat your Agent’s email address like you would any person’s.
- Open your inbox and start a new email.
- In the "To" field, add your Agent’s email address.
- Add a subject line (this helps set context).
- In the email body, ask your Agent something like:
"@alex, write a welcome email for new subscribers."
"@alex, audit our homepage for clarity."
"@alex, brainstorm 3 subject lines for a July 4th promo."
⚠️ Note: The examples above use a hypothetical Agent named "[email protected]". You'll use your own Agent's name in your emails (e.g. "[email protected]" or "[email protected]") depending on what Agent Name you selected when you signed up.
- Reply, forward, or draft new emails — Your Agent can work with all of them. This means you can also send your agent any other emails you’ve ever received (including ones with attachments) by “Forwarding” it to their email address and adding a note on how the agent can help. Just make sure to include an
@agentName
mention in the body when giving instructions.

🔒 A Note on Privacy
Your inbox privacy is important to us. Email Agent doesn’t scan your inbox or look at emails you haven’t explicitly shared. Your Agent only sees what you send, forward, reply to, or attach in your emails to your agent — nothing else.
This means the more context you share (about your business, goals, and voice), the better your Agent can tailor its responses to match. And if you’re ever unsure what your Agent can do, just ask them directly in an email! Your Agent is always learning and getting better — especially when you provide feedback.
Core Concepts: Beginner
- Your Agent: Every user gets a dedicated email address for their Agent. All interactions with your agent happen via email.
- @Mentions: It's a best practice to always include an
@agentName
mention in your email body when you're speaking to your agent so the AI knows what to do. This is especially important on group email threads with multiple emails in the "to" or "cc" fields.
💡 Pro Tip: In emails directly between you and your agent (where you agent is the sole recipient), your agent will always respond to the emails you send.
In group email threads (where you agent's email is one of many recipients), your agent will only respond or take action if you include the @agentName
mention.
- Email Attachments: You can also send your Agent files directly via email. Your Agent supports nearly every common file type (CSVs, spreadsheets, PDFs, Word docs, PowerPoint, Images, text files, etc.). Just attach the file to any email, include an
@agentName
mention, and ask your Agent to analyze, summarize, extract data, generate insights, or even remember the content for future use. These files are processed securely and contextually, just like any email you send. - Note Scribe: Your Agent remembers what you tell them, from strategy decisions to brand guidelines to anything else you'd like saved. All you need to do is say something like "make a note of..." or "remember..." in an email, and your Agent will store that information for later. You can then reference or ask about those saved notes at any time from any other email thread. Your Agent will recall it instantly.
Core Concepts: Advanced
- Dashboard: This is the "admin" view of how you manage your Agent and personal settings with Email Agent. Here you can manage collaborators, view usage, add knowledge base links, handle billing, and much more. Visit: https://app.emailagent.com/
- Collaborators: Collaborators are additional email addresses that you, the primary user, can explicitly grant permission to interact with your Agent. Once added via the dashboard, Collaborators can email your Agent just like you can — making it easy for teammates or clients to contribute ideas, request drafts, or ask for updates. Note: by default when you initially setup your Agent, you (account owner) are the sole collaborator.
- Knowledge Base: You can upload URLs to your dashboard to help your Agent learn about your company. These URLs are stored and visited regularly by your Agent, who reads and analyzes the content to better understand your voice, services, and messaging — making future outputs smarter and more tailored. This is especially useful for including pages like your About section, product pages, or blog posts. You can manage these links via the Dashboard. Think of this kind of like seeding your Agent's memory with the content that is most helpful for you.
Additional Common Questions
- Do I need to install anything? Nope — your Email Agent works entirely over email. There’s nothing to download or install.
- Can I change my Agent's name or personality? Not yet! For now, your Agent comes pre-trained and ready to go, but future updates will allow more customization.
- Is my Agent trained on my company data? Only what you share directly — your Agent does not scan your inbox or scrape your private data. To teach it about your company, you can:
- Upload links via the dashboard (Knowledge Base)
- Attach documents directly to emails
- Provide instructions like "@alex, remember that our audience is mostly SMB retailers."
- Does it work with Gmail, Outlook, or other providers? Yes. As long as you can send and receive email, you can use Email Agent from any client.
- Can I cancel anytime? Yes — there are no long-term commitments.
